During a recent Avant-Garde Travel team discussion, several advisors shared real stories about the moments they had to step in, troubleshoot, reroute, advocate, and sometimes completely rescue a vacation.
These stories are a reminder that travel advisors don’t just book trips. They protect the experience.

Aimee Leon: Saving a Bucket-List Trip to Chile
Aimee Leon recently had clients traveling from St. Louis to the Atacama Desert in Chile for a once-in-a-lifetime stargazing trip. The clients had planned an unforgettable stay at a luxury desert resort and were eagerly anticipating the experience.
Then weather hit Texas.
Their flight was rerouted to Louisiana, where they found themselves stranded in an almost empty airport with no airline staff available to help and were expected to call a 1-800 number with hours-long hold times.
The airline’s solution? Rebook them for the following day, causing them to lose two full days of their vacation. Not on Aimee’s watch!
Instead, Aimee immediately began searching for alternative routes through the GDS system and found seats on partner airlines that the clients themselves would never have been able to find on their own. After coordinating directly with the airline, she secured a completely different routing that reduced the disruption from two lost days to just half a day.
The clients later told her they realized in that moment the true value of working with a travel advisor.
Bill Stokes: Reuniting Clients with Their Anniversary Cruise
For Bill Stokes, the emergency call came while he and his wife were leaving Costco.
A longtime cruise client had missed their ship after a series of FAA ground stops and airline delays prevented them from arriving in Fort Lauderdale on time for embarkation.
Missing embarkation is every cruisers nightmare.
Although Bill had not booked the client’s airfare, he immediately stepped in to help. He located a JetBlue flight to Nassau for the following day, coordinated directly with Princess Cruises Line, and ensured every detail was handled so the couple could board the ship at the next port instead of missing the trip entirely.
When they arrived in Nassau, Princess staff were waiting at the gangway with their medallions (a wearable key card) ready and luggage assistance already arranged.
Instead of losing their long-awaited 28th anniversary cruise, the clients were reunited with their vacation and became clients for life in the process.
Gwen Fox: Evacuating Clients From Israel During Crisis
Some travel emergencies go far beyond delayed flights.
Gwen Fox shared one of the most intense moments of her career: helping luxury clients escape Israel after the October 7th 2023, attacks.
The clients were staying at a luxury hotel in Tel Aviv when the situation rapidly escalated. Gwen immediately began coordinating with her trusted destination management company, Travex, while the clients worked alongside her from overseas.
Over the next 36 hours, they faced an incredibly difficult logistical challenge. Flights out of Tel Aviv were no longer an option, so the solution became moving the clients overland into Jordan in order to fly them out safely.
Adding even more complexity, one of the travelers had significant mobility challenges and required wheelchair assistance throughout the evacuation process.
During the crisis, Gwen’s DMC partners went far beyond what anyone could expect. Concerned about the clients’ safety at the hotel, they welcomed them into their own private home while evacuation plans were being arranged even while dealing with personal tragedy themselves.
“It was frightening,” Gwen admitted. “But it all worked out in the end.”
For Gwen, the experience reinforced the importance of trusted global partnerships and human relationships in travel.
Jennifer Smith: The Difference Is Often in the Small Moments
Not every “save the day” moment involves a dramatic rescue.
Sometimes it’s simply being there.
Jennifer Smith described how she stays closely connected to her clients throughout their travels, especially in destinations where logistics can become confusing. In Japan, for example, rail systems and ticketing procedures can easily overwhelm travelers, so Jennifer proactively texts clients’ reminders while they are traveling like reminding them when to exchange QR codes for physical rail tickets or pick up documents before boarding trains.
One recent client traveling with Collette Tours in Iceland arrived feeling anxious because he had not received communication from the tour company due to an incorrect email address on file.
While her client was trying to rest in Reykjavik at 1 a.m. local time, Jennifer contacted the hotel directly to investigate whether tour documents had arrived. Moments later, her sleepy client came downstairs to find Jennifer already speaking with the hotel staff on his behalf.
That level of attention may seem small to an advisor. To a traveler in a foreign country, it can feel enormous and so comforting.
Lisa Fisher: Solving Problems Before They Become Bigger Ones
Lisa Fisher shared a story from a large destination wedding group booked at a romantic adults-only resort.
The challenge? Several guests traveling together as friends — including two male friends and two female friends — needed rooms with separate beds. The resort initially could not guarantee the arrangements.
Lisa spent weeks escalating the issue through multiple channels to avoid an uncomfortable situation for the guests upon arrival. Finally, at the very last minute, every room was successfully adjusted.
Why Human Travel Advisors Still Matter
Throughout the discussion, one theme became clear again and again:
Technology can book travel.
AI can generate itineraries.
But neither can replace human advocacy, relationships, or real-world experience when something goes wrong.
Travel advisors often solve problems before clients even land at the airport saving hours of unnecessary frustration, which is no way to start a vacation. They know how to reroute flights, access industry systems unavailable to the public, communicate with suppliers directly, and coordinate solutions across time zones and continents.
More importantly, they provide reassurance during stressful moments when travelers need a calm, knowledgeable human being in their corner.
As Aimee Leon put it during the conversation:
“We can do the best job planning a perfect vacation, but we can’t control something like the weather. What we can do is help clients navigate what happens next with expertise and compassion.”
And sometimes, that makes all the difference.
